Terms of Service
The agreement for using Bidador: what it does with the mailbox you connect, what stays your decision, and what we do and do not promise.
Acceptance of these terms
These Terms of Service govern your use of Bidador, the quote follow-up service at bidador.com and its applications (“Bidador”, “we”, “us”). By creating an account, connecting a mailbox, or using the service, you agree to them. If you do not agree, do not use Bidador.
The Privacy Policy is part of this agreement and describes what Bidador reads, stores and shares.
Creating an account requires you to accept these terms and acknowledge the Privacy Policy by ticking the box on the signup form. The box is never pre-ticked, and the account is not created without it. We record the date and time you accepted and the version of each document you were shown, so that what you agreed to is a matter of record rather than of memory. The versions in force today are Terms 2026-09-10 and Privacy Policy 2026-09-10.
Accepting these terms is not consent to send mail on your behalf. Automatic follow-up sending is a separate setting, it is off unless you turn it on, and nothing on this page turns it on.
Eligibility and business use
Bidador is sold to businesses for business use. You may use it only if you are at least 18 years old, can form a binding contract, and are using it in the course of a trade or business.
If you accept these terms on behalf of a company, you confirm you have authority to bind it, and “you” means that company. Bidador is not intended for personal or household mailboxes, and it is not intended to be used with protected health information, payment card data, or other regulated categories of data.
Accounts and account security
You must give accurate account details and keep them current. You are responsible for everything that happens under your account, and for keeping your password and your email account secure — anyone who controls the email address on the account can reset the password on it.
Bidador may require you to verify your email address before parts of the service become available. Tell us promptly at support@bidador.com if you believe your account has been accessed without your permission.
Organizations and authorized users
An account belongs to an organization — your business. Everything Bidador stores is scoped to that organization, and members of it can see the organization’s quotes, customers, conversations and settings according to their role. If you invite or allow others to use your organization, you are responsible for their use of the service, for making sure they are permitted to see the mail and customer information the organization holds, and for removing their access when it should end.
Mailbox connections
Bidador works by connecting to a mailbox you already own. Gmail, connected through Google’s OAuth consent screen, and Microsoft 365, connected through Microsoft’s, are the mailbox integrations available today. Nothing in these terms should be read as promising any other provider, or a date for one.
With your permission Bidador reads the mail you have sent to find estimates, reads later messages on the threads where it found one, opens an attachment when a total appears to be inside it, and sends the follow-ups your own sequences have scheduled. It does not modify, label, archive, mark as read or delete anything in your mailbox. The Privacy Policy sets out exactly what is read and what is stored.
You may disconnect a mailbox at any time, which revokes the grant at Google, deletes the stored credentials and stops all reading and sending. You may also withdraw the grant yourself from your Google Account permissions page.
Disconnecting keeps the history Bidador has already reconstructed. Deleting that history, or the account entirely, is done from Settings → Your data and is described in the Privacy Policy.
Deleting mailbox data can be done up to three times in any rolling 30-day period. Rebuilding a mailbox history costs real work — every message read again, every attachment opened again — and the limit exists so that repeating it cannot be used to run up that cost. Connecting, disconnecting and reconnecting a mailbox are not limited, and neither is deleting your account. If you need the limit reset, write to support@bidador.com.
Acceptable use
You agree not to:
- use Bidador to send unsolicited bulk email, marketing to people who have not asked for it, or anything that would breach anti-spam law such as the CAN-SPAM Act, or your mail provider’s own terms;
- connect a mailbox you are not entitled to connect;
- use the service to send anything unlawful, deceptive, harassing, or infringing, or to impersonate anyone;
- attempt to break, overload, probe or circumvent the service’s security or rate limits, or access another organization’s data;
- reverse engineer, scrape, resell or provide the service to third parties as your own, or use it to build a competing product;
- use the service in a way that puts our providers’ accounts or reputation at risk.
Follow-ups are sent from your own address, so mail sent through Bidador is mail sent by you, and your obligations for it are the same as if you had typed it.
Automated follow-ups
Follow-ups are rendered from sequences you configure — your subject lines, your wording, your timing — and are sent through your connected mailbox, from your address, as a reply in the existing thread. You can edit any step, disable any step, pause automation entirely, or set the hours during which sending is allowed.
Immediately before a follow-up is sent, Bidador re-checks that the quote is still open, that automation is not paused, that neither the customer nor you have replied since it was scheduled, that the step is still enabled and has not already been sent, that the mailbox is still connected, and that the local time is within your sending hours. If any of those has changed, the message is cancelled or deferred rather than sent. A message that would commit you on price, discount, scope, availability or contract terms is held back and shown to you instead.
These checks reduce mistakes; they do not remove your responsibility for what goes out under your name. You are responsible for the content of your templates and for the suitability of contacting a given customer.
AI-generated suggestions
Bidador uses AI to read replies, extract details from estimates, and, when you ask for one, produce a suggested reply draft. AI output is a suggestion and can be wrong.
A suggested draft is shown to you to review, edit and send yourself. Bidador does not send an AI-written message on your behalf, and does not use AI output to change a price, offer a discount, negotiate, alter scope, promise availability or accept terms — those are refused by design. Where Bidador cannot read something confidently it says so and asks you, rather than guessing.
You are responsible for reviewing anything Bidador suggests before you act on it or send it. Nothing Bidador produces is legal, tax, financial or professional advice.
BidGuard recommendations
BidGuard summarises your own history and recommends how much estimating effort a new request appears to deserve, together with the counts behind it and what it does not yet know. It is decision support: it does not reject, hide, close, decline or reply to anything on its own, and it makes no binding decision. It is built from a limited sample of your own past work, it can be wrong, and past outcomes do not predict future ones. Which jobs you pursue is your decision.
No guarantee of jobs, revenue or outcomes
Bidador does not guarantee that you will win work, recover a quote, receive a reply, increase revenue, or achieve any particular conversion rate or business result. Figures shown anywhere on this site or in the product are illustrations or descriptions of your own recorded history, not predictions and not promises.
You remain solely responsible for your estimates, prices, bids, scope, schedules, contracts, the messages you send, and the business decisions you make — whether or not Bidador surfaced, suggested or scheduled something first.
Third-party services
Bidador depends on services operated by others — your mail provider, our hosting and network providers, our AI provider, our transactional email provider, and, when billing is enabled, our payment provider. They are listed in the Privacy Policy. Your use of your own mail provider is governed by your agreement with them, and if they change, restrict or withdraw access, Bidador’s features that rely on it may change or stop. We are not responsible for third-party services, and their availability is outside our control.
Free trial
New accounts get a 14-day trial of the Pro plan. No credit card is required to start it, and nothing is charged when it ends unless you choose to subscribe.
The trial begins when you connect a mailbox, not when you sign up, so none of it is spent waiting for something to look at. A trial belongs to the person and the mailbox rather than to a login: connecting a mailbox that has already had a trial does not start a second one, and neither does deleting an account and creating a new one with the same sign-in address or the same mailbox. What is kept in order to enforce that, and for how long, is described in the Privacy Policy.
When the trial ends without a subscription, the account becomes read-only and automated follow-ups stop. Your data is not deleted, including everything the historical scan found.
Plans, subscriptions and billing
Bidador offers a Solo plan and a Pro plan, priced and described on the pricing page, which is the authoritative statement of current prices and plan limits. Plans differ in how many mailboxes and active estimates they cover and how far back the historical scan reaches. We may change prices; a change affects a subscription from its next renewal, and we will tell subscribers before it applies to them.
Payments are handled by Paddle, which acts as Merchant of Record — it processes the payment, holds the payment details, and handles applicable sales tax and VAT. Bidador does not receive or store card numbers.
A plan change made from Settings applies to your account straight away. Moving to Pro, or from monthly to yearly billing, is charged the prorated difference at the time of the change; moving to Solo, or from yearly to monthly billing, has the prorated difference settled on your next bill.
Subscriptions renew automatically for the period you chose, monthly or yearly, until cancelled. Fees are charged in advance, and a paid period that has already begun is generally non-refundable — subject to rights required by law, and to the specific exceptions set out in the Refund Policy, which forms part of these terms.
Cancellation
You may cancel a subscription at any time from Settings. Cancellation takes effect at the end of the period you have already paid for; until then the plan continues. After it takes effect the account becomes read-only and automated follow-ups stop, and your data stays where it is — cancelling is not a deletion request. To have your data deleted, follow the deletion process in the Privacy Policy.
Your content, and the licence we need to run the service
You keep all rights in your content — the mail in your connected mailbox, the estimates and customer information Bidador reconstructs from it, your templates, and anything else you put into the service. We claim no ownership of it.
You grant us a limited, non-exclusive, worldwide, royalty-free licence to host, copy, transmit, process, display and otherwise use that content solely to operate, secure, support and improve the service for you — including sending the excerpts described in the Privacy Policy to our AI provider, sending the follow-ups you scheduled, and keeping backups. This licence exists to run the product for you and for nothing else; it ends when the content is deleted.
We do not sell your content, do not use it for advertising, and do not use it to train generalized AI or machine learning models.
Confidentiality and data handling
We treat your account data as confidential and access it only as needed to run the service, to respond to a support request you have made, to protect security, or where the law requires. Our staff do not read your mailbox content except in those circumstances. How we store, share, retain and delete it is set out in the Privacy Policy, and we follow it.
Intellectual property
Bidador, its software, design, documentation, name and marks belong to us and our licensors, and nothing in these terms transfers them. You are granted a limited, revocable, non-exclusive, non-transferable right to use the service while your account is in good standing. Feedback you send us about the product may be used freely and without obligation to you.
Suspension and termination
You may stop using Bidador at any time by cancelling and disconnecting your mailbox. We may suspend or terminate an account that breaches these terms, that puts the service, our providers or other customers at risk, or where we are required to by law. Where it is reasonable to do so, we will tell you first and give you a chance to put it right.
On termination, your right to use the service ends. Sections that by their nature should survive — your content licence to the extent needed to complete deletion, the disclaimers, limitation of liability, indemnity and governing law — survive.
We may also change, suspend or discontinue features of the service. If we discontinue the service as a whole, we will give account holders reasonable notice and a period in which to retrieve their data.
Disclaimer of warranties
The service is provided “as is” and “as available”. To the fullest extent permitted by law, we disclaim all warranties, express or implied, including merchantability, fitness for a particular purpose, non-infringement, and any warranty arising from course of dealing or usage of trade. We do not warrant that the service will be uninterrupted or error-free, that every estimate in a mailbox will be found, that every reply will be read correctly, that a scheduled follow-up will always be delivered, or that AI output or BidGuard recommendations will be accurate. Some jurisdictions do not allow certain disclaimers, in which case they apply to you only to the extent permitted.
Limitation of liability
To the fullest extent permitted by law, neither party is liable for indirect, incidental, special, consequential, exemplary or punitive damages, or for lost profits, lost revenue, lost business, lost goodwill, or lost or corrupted data, arising out of or relating to the service, even if advised of the possibility.
To the fullest extent permitted by law, our total aggregate liability arising out of or relating to the service will not exceed the greater of (a) the amounts you paid us for the service in the twelve months before the event giving rise to the claim, and (b) one hundred US dollars.
Nothing in these terms limits liability that cannot lawfully be limited, and some jurisdictions do not allow these limits, in which case they apply to you only to the extent permitted.
Indemnity
You will indemnify and hold us harmless from claims, damages, liabilities and reasonable costs (including legal fees) brought by a third party and arising out of your use of the service, your content, the messages sent from your mailbox through the service, your breach of these terms, or your breach of law — including any claim that you were not entitled to connect a mailbox or to have its contents processed.
Changes to these terms
We may update these terms as the product and the business change. Each version carries a date, shown under Acceptance and reflected in the effective date at the top of this page.
For a material change — one affecting what we may read, what we do with it, who it is shared with, what is kept, what is charged, or what rights either of us gives up — we publish a new version and ask you to accept it in the app before you carry on. Small clarifications and corrections do not create a new version, because asking you to re-accept for a typo teaches everybody to click through without reading, which is the one thing that would make this worthless.
If you do not accept an updated version, you may sign out, stop using Bidador, cancel, and ask us to delete your data as described in the Privacy Policy. Nothing is deleted merely because you have not yet accepted.
Governing law and disputes
These terms and any dispute arising out of them or the service are governed by the law of the jurisdiction named below, without regard to its conflict-of-laws rules, and the courts of that jurisdiction have exclusive jurisdiction over any dispute, except that either party may seek injunctive relief anywhere to protect its intellectual property.
Before starting any formal proceeding, both parties agree to try to resolve the dispute informally by contacting the other in writing and allowing 30 days to respond.
General
These terms and the Privacy Policy are the entire agreement between us about the service. If a provision is unenforceable, the rest stays in force. Our not enforcing a provision is not a waiver of it. You may not assign this agreement without our consent; we may assign it in connection with a merger, acquisition or sale of assets. Nothing here creates a partnership, agency or employment relationship.
